VENDOR GUIDELINES

A deposit of $50.00 must be included with your Vendor application.
This charge is non-refundable, unless your application is rejected
due to a lack of space. Your cancelled check does not denote acceptance.
Payment IN FULL must be submitted by the deadline of March 1,
2008.
•
Special rules apply to Food Vendors. No food or beverage competing
with the Big Sandy Superstore Arena Concessions will be permitted.
Acceptance of food vendors will be at the sole discretion of the
Big Sandy Superstore Arena.
• Vendors are responsible for any and all taxes and fees
associated with their sales at the Festival. This includes, but
is not limited to, State of WV taxes, local taxes, and City of
Huntington licenses. The Ohio River Festival of Books and the
Big Sandy Superstore Arena will not collect any taxes during the
show, although tax and license forms will be provided upon request.
• Vendors are responsible for providing easels, extension
cords or any other display equipment required. Please make a careful
assessment of your needs.
• Booths should be staffed and REMAIN OPEN FOR ALL HOURS
of the Festival. Vendors will be responsible for booth staffing
and the Festival assumes no responsibility in providing relief
personnel.
• Booths are composed of drapes attached to aluminum poles.
Thus, you may not attach anything to the sides or back of the
booths other than posters or paper signs and only by tape. No
stapling to the drapes is permitted. Table skirting and linens
are available as part of the booth fee.
• Solicitation outside of a vendor’s assigned booth
space will NOT be permitted without written permission of the
Ohio River Festival of Books and the Big Sandy Superstore Arena.
• All vendors will receive a letter one month prior to the
event that will include your booth number with a map layout for
reference. Booth placement is at the discretion of the Ohio River
Festival of Books and the Big Sandy Superstore Arena; there are
NO GUARANTEED locations.
• Vendors will be permitted to move in on Friday, March
7th, beginning at 9:00 am until 6:00pm. No set up can take place
after 6:00 pm on the 7th.
• Vendors will be granted access to their booths two hours
prior to general public admission on the day of the Festival to
set up. Festival Hours: Saturday, March 8th, 9 am-5pm.
• All vendors MUST be completely removed from the building
by 8 pm on Saturday, March 8th.
• Aisle space MUST remain clear. Space in passageways or
non-allocated areas must remain clear. Please be considerate of
fellow exhibitors and Festival attendees.
• NO REFUNDS will be issued once your application has been
processed and approved and booth space has been assigned.
